This policy explains how to delete your Checkin account, what happens to your data when you do, and what we are required to keep.
It applies to everyone who uses Checkin, whether you joined as someone discovering venues and Circles, or as a host running paid Circles through Circles Backstage.
Checkin is operated by Checkin App Pty Ltd, based in Sydney, Australia.
You can ask us to delete your account in two ways.
From inside the app: Open the Checkin app on iOS or Android. Go to Account Settings. Tap Delete account. Confirm your decision.
By email: If you cannot access the app, or you signed up through the web, email us at [email protected] from the email address linked to your Checkin account. Use the subject line "Delete my account".
We will verify your identity, confirm the request with you, and complete the deletion within 30 days of confirmation.
You do not need a Checkin account to submit a deletion request. If you have lost access to your account or to your registered email, write to us at the same address and we will work through identity verification with you manually.
When your deletion request is processed, we permanently remove the following from our active systems:
After the deletion completes, none of the above data is accessible to Checkin staff, to other users, or to hosts.
Some information stays in our records after deletion. We are either legally required to keep it, or removing it would break records that other people and businesses depend on.
Financial and tax records, kept for 7 years. If you purchased a Circle ticket or hosted a paid Circle, Australian tax law (administered by the ATO) requires us to keep transaction records for seven years. These records include the amount, date, payment reference, and an internal account ID. After deletion, your name, email, and contact details are stripped from these records, leaving only what is needed for tax and audit purposes.
Payment card details are never stored on Checkin's servers. All card payments are processed by Square, and the retention of card data is governed by Square's own policies.
Records held by hosts about Circles you attended. If you attended a paid Circle, the host has their own record of your attendance because they sold you a ticket. Their copy of the attendee list sits in their host dashboard for their accounting and event records. We do not control or delete this on a host's behalf.
If you want a host to remove their copy, contact the host directly. If you cannot reach them, email us and we will help.
Trust and safety records. If your account was suspended, banned, or the subject of a complaint or report, we keep a minimal record of that decision. This protects other users, hosts, and venues by preventing the same person from rejoining under a new account.
After deletion, this record contains only the original account ID, the date, and the reason. It does not contain your name, contact details, or any other personal information.
Aggregated and anonymised data. Some data is aggregated or anonymised before deletion is requested. For example, venue popularity counts, city-level activity trends, and host performance averages. Once data has been combined in this way, it cannot be linked back to you, so it stays in our analytics.
Your account becomes invisible to other users and hosts immediately. Your data is removed from our active production databases within 30 days. Residual copies in encrypted backups are overwritten within 90 days.
We use rolling 90-day backup cycles, so even though deletion completes within 30 days from your perspective, full removal from all backup storage takes up to 90 days.
If you host paid Circles through Circles Backstage, deletion has extra consequences. You should be aware of these before you proceed.
You cannot delete your account while a paid Circle is currently running. Wait for the event to conclude, or cancel it manually first.
Once your deletion request is fully processed, the account cannot be restored.
If you sign up to Checkin again later, you will start with a new account. Your previous profile, history, hosted Circles, attendance records, and connections will not return.
If you change your mind before the 30-day processing window ends, email [email protected] and we will cancel the request.
Checkin handles personal information under the Australian Privacy Principles set out in the Privacy Act 1988 (Cth). Account deletion is one part of how you exercise those rights. You also have the right to:
